Roles in Creating Registration
User Roles Overview
ITS YOUR RACE provides different levels of access through distinct user roles to ensure secure and efficient event management. Each role has specific permissions and responsibilities.
Primary Roles
Event Owner
- Has complete control over event settings
- Can access and modify financial information
- Can invite other users and assign roles
- Has access to all registration and participant data
- Can manage payment settings and view revenue
Timer
- Can manage race setup and configuration
- Has access to participant data and results
- Can configure timing settings and divisions
- Can upload results and manage race day operations
- Cannot access financial information or payment settings
Event Manager
- Can manage event details and registration settings
- Has access to participant data
- Can modify event information and schedules
- Cannot access financial information
- Cannot modify core race settings
Packet Pickup Volunteer
- Limited access for race day operations
- Can look up participant information
- Can assign bib numbers
- Can check in participants
- Can process race day registrations
- Cannot access financial or administrative settings
Permission Settings
To set up user permissions:
- Log into the admin tool
- Navigate to "USER PERMISSIONS" in the OWNER or TIMER menu
- Click "Invite New User"
- Select the appropriate role for the user
- Enter their email address
- Customize their specific permissions if needed
Best Practices
- Only give users the minimum permissions they need
- Regularly review user access and permissions
- Remove access for users no longer involved with the event
- Use the Packet Pickup Volunteer role for temporary race day staff
- Maintain separate accounts for each user (avoid sharing logins)
Security Considerations
- Event owners should maintain sole access to financial information
- Use strong passwords for all accounts
- Log out when accessing the system from shared computers
- Regularly update contact information for all users
- Monitor user activity through the admin logs
